JOB DESCRIPTION

Project Manager

I – SUMMARY OF MAJOR FUNCTIONS TO BE ACHIEVED

The Project Manager position is responsible for retail sales, service and the timely and accurate completion of the scope of work required for restoring properties damaged by fire, water smoke, storms and other catastrophes to pre-loss conditions in accordance with Clean Care of New England, Inc. policies, procedures and professional practices. The end result is to produce residential, commercial and institutional restoration jobs that meet or exceed the Clean Care of New England’s customer expectations and achieve the financial goals of the organization.

II – KNOWLEDGE, SKILLS AND ABILITIES

Proficient in operations of Xactimate, Microsoft Office, JPP and other PC software packages. Ability to read blueprints, plans and specifications. Ability to accurately measure distances using a tape measure. Ability to follow Help screens and/or How to manual instructions to trouble shoot problems in PC operations.

• Strong logical and analytical reasoning.
• Strong quantitative analysis skills
• Excellent decision-making and problem solving skills.
• Familiarity with PC’s and the ability to use the analytic skills to make recommendations.
• Precise detail orientation and excellent organizational and time management skills.
• Strong interpersonal communication and interviewing skills.
• Independent and self-disciplined.


III – RESPONSIBILITY AND DECISION MAKING AUTHORITY

The Project Manager may delegate any of his/her assigned tasks to any reporting employee; however, the Project Manager retains ultimate responsibility for all performance criteria identified in this job description. The Project Manager has been granted the authority to discipline employees under his/her direction pursuant to the procedures outlined in the Clean Care of New England, Inc. Policy and Procedures manual. The Project Manager cannot grant pay increases, but can make recommendations for pay raises to the Chief Operating Officer for consideration. The Project Manager can charge purchases up to $2,000 per invoice but has no check written authority. The Project Manager directly reports to the Production Manager or Chief Operating Officer.

IV – DUTIES AND RESPONSIBILITIES (includes all these listed but is not limited to the following)

• Using data base management and construction estimating programs such as Xactimate on a personal computer analyze labor and material requirements and schedule and oversee the work necessary to restore damaged property to pre-loss conditions.

• Upon receipt of an assigned project the Project Manager is to evaluate and utilize labor and material costs used for the management purposes such as planning, organizing and scheduling work, process bids, selecting vendors, subcontractors, negotiating contracts and determining cost effectiveness.

• The Project Manager is to perform an initial job site visit on every Clean Care of New England project he or she is assigned to.

• Manage the relationship between Clean Care of New England, the client and/or insurer to assure the highest quality of customer service. Consult with clients, vendors or others to discuss and potential execute of projects and resolve actual or potential issues. Review estimation scope and changes with the estimator and/or Chief Operating Officer and maintain communication with leads, job personnel and clients.

• Manage the company’s pipeline of jobs-in-progress through effective capacity planning, scheduling and time management. Create and maintain management reports within JPP. Implement process improvements to maximize service levels and productivity.

• Contact new client with project start date, maintain client communication through out the project on a weekly basis, utilizing phone contact or e-mail. This information is then to be entered in JPP daily.

• Review the scope of work agreed upon by the project estimator, the client and the insurers’ agent prior to the project start-up. Carry out Change Orders in accordance with company policies and procedures.

• Review and approve all Sub-contractor proposals, process Sub-contractor bid forms to accounting for scheduled draw and final payments.

• Perform regular site visits (some cases daily) for the purpose of monitor each project by contact threw the customer, sub-contractors for the purpose of verifying job performance time restrictions and scheduling. requirements.

• Review and approve all purchases of materials using the Purchase Order system and the material allowance budget for each project. Track and monitor schedule delivery, for the quality and timeliness of installation within budgetary constraints.

• Prior to the completion of the project the Project Manager is to review the field file for all required forms, correspondence and documents before turning it back over to a Customer Services Coordinator to move files closure.

• Participate in weekly Production meetings and contribute to pre and post-job evaluations to continuously improve quality and service levels to Clean Care customers.

• Participate in the scheduling and arrangement of personnel on emergency service calls during normal business hours.

• Assist in distributing, explaining and obtaining signed Customer Satisfaction forms with the clients upon the completion of the project.

• Assist in collecting monies due and payable to Clean Care of New England, Inc. for jobs in accordance with the following company standards:

1. At least 75% of all monies (measured in dollars) collected within 30 days of the completion of the project (i.e. from receipt of customer satisfaction survey).

2. At least 15% of remaining monies (measured in dollars) collected within 60 days of the completion of the project.

3. 100% of all monies (measured in dollars) collected within 90 days of the completion of the project.

• Evaluate and report on safety needs and investigate potential safety issues. Supply well documented written reports to the Chief Operating Officer on safety issues.

• Participate in the Rotating On-Call schedule. Perform regular on-call duties. Actively lead and participate in emergency services calls while on call and as needed by the company during regular working and non-working hours.

• Have the ability on emergency service sites to evaluate, monitor and record drying condition readings on the applicable documents.

• Support company sales and marketing initiative by maintaining and improving relationships with claimants, insurers, claims adjustors, subcontractors and other individuals and groups that influence buying decisions directly or indirectly impacting Clean Care of New England Inc.

• Participate in recruiting, interviewing, training and retaining qualified trades personal and participate in employee performance reviews. Co-ordinate and work with the Chief Operating Officer.

• Support company sales and marketing initiative by maintaining and improving relationships with claimants, insurers, claims adjustors, subcontractors and other stakeholders and groups that influence buying decisions directly or indirectly impacting Clean Care of New England, Inc.

• Assist in maintaining records of Emergency Services equipment, usage, distribution and pick up of equipment.

• Inspect Clean Care of New England’s equipment on a regular basis for safety and proper operation.

V – PERFORMANCE MEASURES

The Project Manager shall be deemed to be performing in an acceptable manner when at least the following has been accomplished satisfactorily as outlined on the company employee evaluation form.

• Met or exceeded company sales, operations and budget goals.

• Demonstrated the capacity and ability to manage restoration projects of all scopes and levels of difficulty.

• Maintained a positive company relationship and image within the business community.

• Facilitated and managed ongoing employee training. Employee evaluations were performed regularly as established by company policy.

• Backup personnel have been trained and are ready to assume key positions as required.

• Team Leaders and Service Crew morale and productivity have remained at a high level.

• The individual has respected the confidentiality of company information and ensured that all subordinate staff does likewise.

• Displayed a positive attitude and maintained a cooperative working relationship with other key management members and all other employees.

• Performed all duties in an independent and expeditious manner with minimal supervision.

• Made optimal use of time during working hours.

• Consistently displayed the ability to recognize and deal with priorities.

• Demonstrated good planning skills that suitably fit into the overall company goals.

VI – LEARNING PERIOD

An employee with a business or construction degree or equivalent and three (3) years experience would be expected to perform at a satisfactory level within six (6) months. The most difficult aspect(s) of this position are: 1) determining the manpower and materials needed to successfully complete the scope of work described in restoration estimates; and 2) delivering completed projects at or under budget, while maintaining high quality and timeliness and avoiding slippage and/or undue waste.

VII – RELATIONSHIPS WITH OTHERS

The Project Manager is required to maintain regular (typically daily) contacts with administrative, sales and marketing, production, estimating and executive personnel to ensure Clean Care of New England, Inc.’s goals are met and that all tactical issues are addressed to all parties’ satisfaction. These contacts typically include personal contacts in the office or job sites, as well as periodic telephone check-in contacts throughout the day. JPP must be updated daily to ensure good communication. As with other personnel equipped with cellular phone and messaging technologies, the Project Manager is required to promptly respond to contacts initiated by others. The Project Manager is required to attend weekly Production meetings and to actively contribute to the goals and objectives established in these meetings.

VIII – SCOPE AND IMPACT OF JOB

The successful performances of the responsibilities of this position are measured in terms of both customer satisfaction and financial impact to Clean Care of New England Inc. Customers feel a direct impact when scope of work estimated is handled in an efficient, quality-oriented, customer-focused manner. The number of customer complaints as a result of Clean Care of New England’s produced work, are thereby minimized, which in turn reduces the company’s exposure to rework and negative customer and insurance adjustor references. Lost customer goodwill is very difficult to overcome, which in turn has a direct bearing on the bottom line of Clean Care of New England’s profitability.

IX - QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:

Associate's Degree or equivalent from two-year College or technical school; or three to four years’ related experience and/or training; or equivalent combination of education and experience

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS:

• Valid Driver’s License
• Basic Certifications in Fire & Smoke Restoration
• Basic Certifications in Water Damage Restoration
• Basic Certifications in Odor Control
• Advanced Certifications in ASD (applied structural drying) and or WLS
• Certified Restorer
