We are seeking an organized, efficient, self-starter to assist with general administrative duties in our front office. The ideal candidate will have experience interacting with clients, a professional appearance, and a positive attitude. Must be highly organized, have professional telephone etiquette, strong computer and organization skills, attention to detail, ability to multi-task and prioritize with follow-up skills necessary. A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
Proficiency in Microsoft Office required.

Work Hours: Position is Flexible (Hrs of operation M-F 7-5pm)
Administrative Assistant Job Responsibilities:
• Create a welcoming environment for employees and clients.
• Provide administrative support to ensure efficient operation of office.
• Manage office communication including mail, emails and phone calls.
• Screen phone calls, redirect calls, and take messages.
• Provide information by answering questions and requests in a timely manner.
• Schedule appointments, meetings, and reservations as needed.
• Carry out administrative duties such as filing, typing, copying, scanning, etc.
• Receive deliveries; sort and distribute incoming mail.
• Provide entry-level bookkeeping, training available
• Receive and pay invoices.
• Support team by performing tasks related to organization and strong communication.
• Ensure operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
• Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
Administrative Assistant Skills and Qualifications:
• High school diploma or general education degree (GED) required, Associate degree preferred
• 2-3 years of clerical, secretarial, office, or relevant experience preferred
• Exceptional verbal and written communication skills, including strong spelling, grammar, and punctuation
• Pleasant and personable demeanor
• Proficient computer skills, including Microsoft Office
• Excellent organizational skills
• Innovative problem-solving abilities
• High degree of attention to detail
• Self-motivated multitasker
• QuickBooks experience, preferred but not required
