Job Title: Dispatch and Billing Assistant
Job Type: Full-Time
Job Summary:
We are seeking a dependable and organized Dispatch and Billing Assistant to support daily operations for our electrical service and construction company. This position will assist with dispatch scheduling, preparing and sending customer quotes, invoicing, and supporting accounts receivable. During slower periods, this role will also focus on helping generate new business opportunities and supporting sales efforts by reaching out to potential clients and maintaining customer relationships. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced office environment.
Responsibilities:
- Assist with scheduling and dispatching technicians for service calls and projects
- Prepare and send customer quotes
- Create and send invoices to customers in a timely manner
- Assist with accounts receivable and follow up on outstanding invoices
- Communicate with technicians and office staff to ensure accurate job information
- Maintain accurate customer and job records in ServiceTitan
- Respond to customer inquiries regarding quotes, scheduling, and billing
- Assist with ordering parts and materials as needed for jobs
- Monitor and help manage customer portals, acting as an additional set of eyes to ensure requests, updates, and documentation are completed on time
- During slower periods, assist with sales-focused activities such as contacting potential clients, following up on leads, and helping bring in new business opportunities
- Provide general administrative and office support as needed
Qualifications:
- Previous administrative, dispatch, or office experience preferred
- Experience with ServiceTitan is a plus
- Strong communication and organizational skills
- Ability to multitask and prioritize in a fast-paced environment
- Basic knowledge of invoicing and accounts receivable preferred
- Comfortable communicating with customers and potential clients
- Proficient with computers and office software
