Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence, interacting with customers. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

Responsibilities
-Answer incoming phone calls and route them to the appropriate person
-Schedule appointments and maintain a calendar
-Organize meetings and take accurate minutes
-Write emails, memos, and letters and distribute them appropriately
-Maintain an organized filing system
-Develop, update, and maintain relevant office procedures
Qualifications
-High school diploma/GED required, Associate’s degree or administrative training is preferred
-Previous experience as an Administrative Assistant or in a similar position
-Familiarity with standard office equipment such as printers and fax machines
-Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
-Highly organized with excellent time management skills and the ability to prioritize projects

Looking for an individual that is outgoing, neat, and clean in demeanor, with outstanding communication skills. Needing an individual to commit to long hours of work when necessary to reach goals. Overtime and after hour emergencies obligatory.

The Requirements below are representative of the Knowledge, skill, and/or ability required:
– Looking with qualified individual with field experience & certifications
– Ability to multi-task, in a very busy environment.
– Perform dry-down procedures using appropriate equipment, such as dehumidifiers, desiccants, and water extractors
– Manage others
– Use appropriate equipment for mold remediation such as HEPA filters, air scrubbers, and negative air machines
– Valid FL driver’s license, with clean driving record a MUST
– A plus if you have good knowledge and experience in construction and use of hand tools
– Review data reports and write all or portions of project technical and summary reports.
–Ability to communicate fluently in English.
Prior experience working in the water damage industry or closely-related experience is a plus but not required.

- Coordinate bank deposits and report financial results on a regular basis to management
- Monitor office expenses and tally and enter cash receipts
- Pay vendor invoices and track bank account balances
- Develop monthly financial statements, including cash flow, profit and loss statements and balance sheets.
- Reconcile / maintain / input data from various bank accounts and credit cards.
- Able to do general ledger entries
- Post transfers from various accounts

Needed Qualifications for the Bookkeeper:

- Five years' experience working in accounts payable and receivable, general ledger, payroll and payroll reports
- Strong knowledge of generally accepted accounting principles
- Extensive experience with data entry, record keeping and computer operation
