Project Coordinator/Administrative Assistant
Kevitt Companies is a fast-growing, high-energy company specializing in demolition, earthwork, and site utilities. Our ideal candidate is detail orientated, curious, team focused, fun, hard-working, and willing to do whatever it takes to get the job done right. Ability to work in a fast-paced environment. Ability to prioritize and manage multiple projects and administratively assist multiple managers, while remaining flexible. Must be able to manage and meet multiple deadlines. Help maintain a professional, fun working environment and enjoys new challenges.
Responsibilities
• Obtain and maintain all necessary construction permits at the city, county, and state levels.
• Assist Project management team with estimating, reviewing plans and specifications as well as gathering quotes
• Monitor and report daily labor and weekly project financials
• Prepare, track, and review the project cost control log with the construction team
• Assist the Project Management team with scheduling, invoicing, and reviewing job costs, preparing bid packages, and electronic submission or deliver bid packages
• Enhance the efficiency and productivity of the project management team through the management and dissemination of information and the coordination of activities.
• Project start-up, job files, records maintenance, close-out: Includes extensive use of department related software's.
• May also include scanning, printing, and plan distribution.
• Provide Administrative and operational support to the project team members.
• Facilitate the flow of information both internally and externally as directed while utilizing PlanGrid and drop box
• Provide training for new internet or app-based applications for office and field employees
• Seek out bid opportunities through public and private postings through a variety of web based applications and maintaining bid calendar
• Social Media developing and Marketing Management
• Miscellaneous administrative support as needed (and in line with department goals and objectives)

Qualifications:
Required:
• Possess basic understanding of construction and accepted business practices
• Proficient in MS Word, Excel, Outlook, PowerPoint and Internet Applications
• Ability to organize and handle multiple project tasks
• Demonstrate positive and professional attitude and customer service skills
• Maintain adaptiveness, effective communication, and active listening skills
• Possess teamwork, initiative, communication, problem-solving, and leadership skills

Preferred:
• Previous work experience in project management and/or the construction industry
• Associates degree or higher in Project Coordination, Construction Management, Civil Engineering, Administrative Assistant, Administrative Office Specialist
• Experience in Bluebeam Revu and AGTEK
• Experience: 2 + years of previous work experience in administrative role providing support to multiple people
• 1-3 years of related construction experience

Responsibilities:
• Overall Project Success to include material procurement, conflict resolution, project deadlines, coordination with project superintendents, coordination with project administrative staff, coordination with outside consultants, and foremost client satisfaction
• Project communications with clients, field staff, office support staff and management, work with appropriate staff to meet any project requirements
• Project Estimating, performing quantity take-offs, understanding scope changes and pricing, reviewing plans and specifications, gathering quotes and submittals and tracking all project revisions
• Contract review and ex*****on
• Reviewing and obtaining necessary permits and licensing.
• Manage distribution and pricing of project changes
• Assist superintendent in tracking labor costs
• Perform necessary cost accounting for on-going projects including daily/weekly cost verifications, change orders, monthly project cost projections, manage and monitor project billings, attending project meetings, representing Kevitt Companies with clients/customers/vendors
• Continuous marketing of existing company clients and assist with efforts to generate/develop new client relationships
• Assist with mentoring of Junior Estimator, Assistant Project Managers, and Project Coordinators
Qualifications:
Required:
• 5+ years of related experience, including experience with self-perform capabilities
• Demonstrated experience building strong partnerships and trust with external partners, including owners, design firms, general contractors and subcontractors.
• Possess a good understanding of construction law and generally accepted business practices
• General knowledge of estimating techniques, cost control and material pricing.
• Competent in specification, plan, and drawing reading and interpretations.
• Strong collaboration and communication skills
• Ability to effectively present information to top management, public groups, and/or regulatory agencies.
• Proficient in MS Word, Excel, Outlook, and Internet Applications

Preferred:
• Four-year degree in Engineering, Construction Management, or related degree
• Estimating and field experience
• Knowledge of Demolition, Earthwork and Site Utilities
• Scheduling experience
• Bidding and management software, including but not limited to Agtek, B2W, Bluebeam and Plangrid

How important is Safety to you? Its our top priority here at Kevitt.
Did you know 5,333 workers died on the job in 2019 (3.5 per 100,000 full-time equivalent workers) — on average, more than 100 a week or about 15 deaths every day.

Some Helpful Tips to keep yourself and fellow co-workers safe during a demolition project:

Use Personal Protective Equipment

– Wear and use appropriate personal protective equipment.
– Inspect personal protective equipment before use.

Plan Your Work Carefully

– Begin demolition of exterior walls and floors at the top of the
structure and proceed downward.
– Do NOT cut or remove structural or load-supporting members on
any floor until all stories above that floor have been removed.
– Remove all roof cornices or other ornamental stonework before
pulling down walls.
– NEVER work where there is risk of structural collapse until the
hazard has been eliminated through shoring, bracing, or other
reliable means.
– Inspect all stairs, passageways, and ladders, and illuminate all
stairways.
– Shut off or cap all electric, gas, water, steam, sewer, and other
service lines, and notify appropriate utility companies.
– Use enclosed chutes with gates on the discharge end to drop
demolition material to the ground or into debris containers.
Observe Rules for Floor and Wall Openings
– Guard wall openings to a height of 42 inches. Cover and secure
floor openings with material strong enough to withstand the loads
it will bear.
– When creating a floor opening for material disposal, be sure the
size of the opening is no more than 25 percent of the floor's total
square footage.
