The office manager acts as the communication hub (and often the first line of communication) for clients, vendors, subs, and employees.
The office manager enforces business procedures and processes and ensures the company’s legal compliance.
The office manager manages the company’s financial activities, such as cash flow, reports, invoicing, and collections).

Main Tasks
Accounting Support: timesheets, payroll, workers compensation, reconciliation of all accounts, Quickbooks and Buildertrend management and reports, A/P, A/R, and collections, coordination with bookkeeper, CPA, and insurance brokers.
Office Management: office supplies, manage mail, sub and vendor documentation, business licenses, supplier accounts, contracts, support office and field teams, coordinate internal and sales meetings, coordinate marketing efforts, and manage internal projects.
Project Management: vet new subs and vendors, perform initial screening for field employees, coordinate purchasing logistics, and manage project documentation and time logs.
HR Support: manage recruitment efforts, screen candidates, support new hire on-boarding and training, coordinate benefits, and respond to legal notices.
IT and Facilities Support: facilitate company email, calendar, Google accounts, and website; coordinate digital marketing and business listing management; order business cards, signs, stickers, clothing, etc.; and manage communication between property management and PLC.
Metrics
1. Cash flow management (time spent on invoicing, invoices out on time, proactive and timely alerts on collections).
2. Variance between estimated completion and actual completion of internal projects and milestones.
3. Communication thoroughness (no surprises, no dropping the ball).
4. Reliability and consistency of office task schedule (up-to-date).
