We're looking for a Studio Operations Manager to join the White Mosaic team! 🌿

This is a part-time position with scope to grow into a full-time role
20–25 hours per week

£30,000–£38,000 full-time equivalent

Role -
Run the weekly operating rhythm and management agenda.
Keep tasks, owners, deadlines and project codes accurate.
Track actions, escalate delays and maintain team capacity visibility.
Coordinate handovers across sales, marketing, design, delivery and construction.
Keep every enquiry at the correct CRM stage with a dated next action and owner.
Monitor proposals, deposits, approvals, meetings and follow-ups.
Produce a weekly pipeline and conversion report.
Maintain project records and codes linked to the company source of truth.
Coordinate surveys, engineers, freelancers and contractor quotations.
Track approvals, dependencies, presentation dates and contractor documentation.
Improve the existing company-owned Notion system; recommend alternatives only after a documented audit.
Maintain cashflow, invoice and expense data quality.
Monitor expected receipts and overdue invoices.
Oversee email triage and ensure actions are assigned and completed.
Protect the Design Director’s calendar and key commitments.
Maintain HR records, onboarding/offboarding, access registers and role descriptions.
Coordinate recruitment administration and performance information.
Candidate profile -
Essential:
Operations, studio, office or project coordination experience in a small professional-services business.
Strong workflow, systems and database management skills.
Contractor coordination experience (quotes, scheduling, documentation, deadlines and follow-ups).
Ability to improve an existing Notion system before proposing a replacement.
Excellent written communication, strong follow-through and independent judgment.
Confident with CRM systems, calendars, email management and basic commercial reporting.
Comfortable enforcing deadlines and handling confidential information.
Strong advantage:
Architecture, interior design, landscape, construction or creative-studio experience.
Strong Notion skills.
Experience creating SOPs, management dashboards and basic bookkeeping/cashflow processes.
