Before you submit that tender, take a final look at the details that can make the difference between a profitable job and a difficult one.

Use this pre-tender checklist:

✓ Confirm you are pricing the latest drawing revisions
✓ Read the full specification, not just the plans
✓ Measure every work section, including external works and finishes
✓ Identify exclusions, assumptions and scope gaps
✓ Obtain current supplier and subcontractor pricing
✓ Allow properly for preliminaries, plant, access and site logistics
✓ Review the final margin against the true cost of delivery

A tender can look competitive on paper and still leave very little margin once work starts. Accurate quantities, realistic rates and clear allowances help you understand what the job should cost before you commit to the price.

Estimate Exact provides detailed quantity take-offs, Bills of Quantities and fully priced construction estimates for UK builders and contractors.

Send us your drawings and tender documents. We’ll take it from there.

The last 48 hours before a tender deadline can be the most expensive hours in the job.

When the numbers only receive a proper look just before submission, important details can be missed:

✓ Latest drawing revisions
✓ Specification clauses
✓ Exclusions and scope gaps
✓ Preliminaries
✓ Outstanding subcontractor quotes
✓ The final margin review

A rushed review is not the same as a proper review.

Once the tender has been submitted, an error may mean reduced margin, a price you cannot withdraw, or a job that only recovers its costs rather than producing a profit.

A few practical habits can make a significant difference:

• Start the take-off as soon as the documents arrive.
• Set an internal deadline ahead of the client’s deadline.
• Decide early whether the project is worth bidding for.
• Get a second pair of eyes on the quantities, allowances and final price.

The deadline should be the finish line, not the first time the numbers are properly checked.

If your team is under pressure during a busy tender period, Estimate Exact can provide detailed quantity take-offs, Bills of Quantities and fully priced construction estimates based on your project information.

A good day on site is not the same as an average day.

That distinction can quietly decide whether a tender makes money.

If your labour allowance is based on the best output your team has achieved, the estimate may look competitive on paper. But once work starts, productivity is affected by:

• Access restrictions
• Waiting for other trades
• Deliveries and material movement
• Weather
• Snagging and rework
• Site coordination and interruptions

Each delay may appear minor. Together, they can reduce output significantly and erode the margin you expected to make.

A rate copied from another project, another trade or another crew can be just as misleading. Output rates are project-specific and trade-specific.

The most reliable starting point is your own records:

✓ What does your team normally achieve?
✓ How much productive time is available in a typical day?
✓ Which site conditions regularly affect output?
✓ Are your allowances based on repeated performance or one exceptional result?

Price the job you will actually deliver, not the one you hope for.

At Estimate Exact, we help builders and contractors build detailed, realistic labour allowances into their tenders, so the numbers reflect the true cost of delivering the work.

How much is an unclear tender really costing you?

A missing drawing, vague specification or undefined interface may look like a documentation issue. In practice, it becomes a pricing issue, and often a margin issue.

When scope is ambiguous, the contractor is left to decide:

What has been included?
What finish or extent applies?
Who is responsible for the interface?
What labour, materials, plant and preliminaries are required?

If the answer is based on a guess, the risk has not been priced properly. It has simply been transferred to the contractor.

Every assumption made at tender stage can reappear on site as:

Additional labour
Unplanned materials
Programme pressure
Subcontractor costs
Disagreement over variations
Margin erosion

A genuine allowance has a defined basis: a documented quantity, an agreed rate or a clearly stated assumption.

A guess has no clear basis. It is an unknown absorbed into the tender price.

The safer commercial approach is to raise the clarification, state the assumption and price what can be supported by the tender information. It is better to price a clarification than quietly absorb an unknown and hope it does not become a cost.

Estimate Exact prepares detailed, project-specific construction estimates from drawings, specifications and tender documents, helping builders and contractors understand the true cost before committing to the price.

Winning work is not the same as winning the right work.

In a tighter market, defensive tendering becomes a sensible commercial discipline. Contractors are becoming more selective about what they bid, not to avoid opportunity, but to avoid committing resources to projects where risk and return do not align.

Before pricing, ask:

• Is the scope sufficiently understood?
• Are the drawings and specifications coordinated enough to price?
• Can the programme be delivered realistically?
• Is the expected return worth the exposure?
• Does the tender allow for clear commercial control?

A deliberate bid/no-bid decision should be based on evidence, not habit or pressure to keep turnover moving.

Then price the risk clearly.

An unpriced risk is a margin risk. If access, interfaces, design responsibility, ground conditions, temporary works or supply obligations are unclear, the tender should not hide that uncertainty inside an optimistic lump sum.

Use:
✓ Assumptions to explain how the price has been built.
✓ Exclusions to define what is not included.
✓ Provisional sums where the scope or value cannot yet be confirmed.

This does not make a tender less competitive. It makes the commercial position clearer before work starts, and reduces the chance of discovering that “profit” existed only on paper.

At Estimate Exact, we review drawings, specifications and tender documents, then prepare detailed, project-specific estimates to help builders and contractors make sounder bid decisions.

Winning the job is one thing.

Making money on it is another.

A tender can look profitable on paper, but site performance tells the real story.

Small gaps in the estimate can quickly reduce your margin:

• Quantities that were not fully measured
• Labour productivity that was too optimistic
• Waste, plant and preliminaries under-allowed
• Supplier and subcontractor costs that changed
• Scope gaps discovered once work started

The answer is not simply pricing higher. It is understanding the true cost of delivering the work before you commit to the price.

Properly measured quantities and realistic allowances give you a clearer view of what the job should cost : and help protect your margin when the project moves from tender to site.

The price you submit is not necessarily the money you receive, or the money you receive on time.

Before submitting a tender, understand the cash flow reality:

Retention percentage and release points. A common structure is 5% retention, often split between practical completion and the end of the defects period. However, the contract terms govern, so never assume.

Application and certification cycles. When can you apply? When is the valuation assessed? When is it certified? What is the due date and final date for payment?

The gap between starting work and receiving payment. Materials may need to be ordered and labour paid weeks before the first payment lands.

A project can look profitable on paper while tying up significant working capital. That funding requirement is a real commercial cost and should form part of the decision before you commit to the price.

Read and understand the payment terms at tender stage, not after work starts on site.

At Estimate Exact, we help builders and contractors understand the true cost of the work, with detailed, project-specific estimates built from the tender information.

23/09/2026

A variation agreed at tender stage is usually easier to price properly.

You have measured information, agreed rates, time to review the scope and the opportunity to compare labour, material, plant and subcontractor costs before work begins.

Once the site is live, the same variation can carry additional cost and pressure:

• Re-measurement and pricing time
• Disruption to planned work
• Plant, access and logistics already committed
• Extended preliminaries
• Less opportunity to obtain competitive pricing
• Decisions made under programme pressure

The variation is not just the extra work. It is the cost of delivering that work in the conditions already created on site.

That is why clear exclusions, realistic provisional allowances, agreed rates and written approval matter at tender stage. They reduce uncertainty and make the position easier to manage when the scope changes.

Every variation should also be tied back to the original measured take-off:

Original measured scope → What changed? → Agreed adjustment

This creates a clear record of what was included, what was added or omitted, and how the final cost was calculated.

At Estimate Exact, we prepare detailed quantity take-offs, Bills of Quantities and project-specific estimates that give contractors a stronger commercial basis before work begins.

If you have a tender or live project to review, send us your drawings and tender documents.

22/09/2026

Is your waste allowance based on the material, or simply a standard percentage?

That shortcut can quietly reduce margin. Waste varies with how material is measured, cut, handled and delivered.

Illustrative starting points:
• Tiles: 10–15% where layouts are diagonal, patterned or heavily cut.
• Plasterboard: 5–10% depending on sheet sizes, openings, damage and offcuts.
• Timber: 5–10% depending on lengths, cutting lists, defects and short offcuts.
• Brick and block: 5–10% for cutting, breakage, handling and setting out.
• Concrete: often 2–5%, but access, pour conditions, part loads and over-ordering matter.

These are not fixed rules. Actual factors should be adjusted for the project, trade, specification and site conditions.

And waste is not only the material line. An under-allowance can also increase:

Delivery.
Handling.
Storage.
Disposal.

A small optimistic percentage can become a much larger cost once work starts on site.

At Estimate Exact, we use measured quantities, project-specific allowances and realistic supplier pricing to help builders and contractors understand the true cost before committing to a tender.

Is £22.00/hr really the cost of an hour of labour?

Not necessarily.

A basic wage is only the starting point. Once the wider employment and business costs are considered, the fully loaded cost in this illustrative example reaches £36.78/hr.

That build-up includes:

Employer’s NI
Pension contributions
Holiday pay
Non-productive time
Overheads

The difference matters when you are pricing a tender. If your labour allowance is based only on the basic wage, you may be under-recovering the true cost of delivering the work before allowing for risk or profit.

The figures shown are illustrative and will vary by business. Your own labour rates should reflect your actual employment costs, productivity, overhead structure and commercial requirements.

Before you submit your next tender, make sure you understand what each hour really costs.

Estimate Exact helps builders and contractors prepare detailed, realistic construction estimates based on the true cost of the work.
