Job Title: Operations Administrative Support / Coordinator
Office Based in Carlisle.
Pay depending upon experience.
Job Summary:
The Operations Administrative Support / Coordinator will play a crucial role in alleviating the administrative burden on Site and Operations Managers, enabling them to focus on strategic initiatives, client engagement, and team development. This position involves managing critical documentation, coordinating logistics, and ensuring smooth operational workflows. The ideal candidate will be proactive, detail-oriented, and possess a strong understanding of site operations and safety protocols.
Key Responsibilities:
- Documentation Management:
- Prepare, manage, and streamline Risk Assessments and Method Statements (RAMS) for various jobs, ensuring clarity and adherence to established templates
- Handle and process local documentation, including CTS (Construction Training Scheme) forms, transport arrangements, security clearances, and NVQ paperwork.
- Maintain and update the training matrix, booking necessary training courses and tracking certifications.
- Administrative Support:
- Triage and manage incoming emails, sifting out non-essential communications and prioritising urgent matters for the management team.
- Assist with general administrative tasks.
- Prepare and write effective operational documents and communications.
- Operational Coordination:
- Support the coordination of plant and equipment.
- Assist in the delivery of standard toolbox talks to site personnel.
- Collaborate with the drawing office and site teams to understand job specifics, access constraints, and practical methods of working.
Qualifications & Skills:
- Proven experience in an administrative or coordination role, preferably within a construction or industrial operations environment.
- Knowledgeable about method statements and risk assessments, or a strong aptitude and willingness to learn.
- Excellent organisational skills and attention to detail for managing multiple documentation streams.
- Strong written and verbal communication skills, with a good background in English.
- Ability to work independently and proactively identify tasks that can alleviate management workload.
- Proficiency in standard office software.
Training & Development:
- Initial period (e.g., 0-6 months) involving travel to various sites to gain firsthand insight into operations, site context, and working methods.
- Training will be provided for specific tasks, such as detailed risk assessments and procedures.
