The Opportunity:
Mainline is searching for an experienced, friendly and efficient Office Administrator to join our collaborative team.
Key Roles & Responsibilities:
Reporting to Manager job duties include but are not limited to:
• Managing customer inquiries and making appointments for plumbing and heating services both in person and over the phone;
• Scheduling and dispatching technicians to job sites;
• Greet customers, ascertain nature of business and direct visitors to employer or appropriate individual;
• Receiving and responding to phone and email inquiries from customers and suppliers;
• Keeping the office organized and running efficiently including management of correspondence (mail, letters, packages, etc.);
• Support budgeting, invoicing, payments and accounting procedures/department through accurate data entry tasks;
• Set up and maintain manual and computerized information filing systems;
• Determine, establish and modify office procedures as needed;
• Coordinate with suppliers to order and track inventory of equipment and supplies;
• Submit timely reports and prepare presentations/proposals as assigned;
• Assist colleagues whenever necessary;
• All other duties as requested.
Qualifications:
• A minimum of 2+ years of experience as an office administrator or similar role;
• Administrative Assistant Certificate from an accredited post-secondary institution preferred but not required;
• Excellent organizational and time management skills;
• Strong written and verbal communication skills;
• Ability to multitask and work effectively in a fast-paced environment;
• Knowledge of office software, including Microsoft Office suite of programs and Sage accounting software.
