Key responsibilities would include but are not limited to

• Daily general site clean up

• Set-up and tear down of temporary structures (ex. Scaffolding)
• Use of power tools

Key attributes of a labourer:

• Valid Ontario driver’s license, as well as transportation to various
work sites in the Muskoka Region.
• You are capable of climbing on ladders and carrying at least 80
pounds
• You have access to your own set of basic hand tools
• You have a keen eye for detail
• You are punctual and reliable
• You are willing to work overtime when necessary to deliver the
project on time
• You are able and willing to work in all weather

Job Summary:

The Administrative Assistant will work closely with our Operations and Project Management team to ensure compliance with our customer project contracts. In addition, this role will ensure timely completion of invoicing.

We are currently seeking candidates who are energetic, organized and detailed orientated who have experience working in a bookkeeping/accounting capacity and/or office management. Experience in construction industry and Quick Books is a strong asset.

Greeting and presenting quotation's to clients

Answer phones
Filing documents
Maintaining office & showroom cleanliness
Update company social media

All data entry, data management and reporting, as required
Coordination and management of schedules, as required
Attending all necessary meetings, on- and off-site
Invoicing as per project contract on biweekly basis
Following invoice checklists to ensure full compliance with contract
Follow up on any aged Accounts Receivables in a timely and professional manner
Controlling costs of all open jobs under active projects
Monthly accruals report
Tracking all previous, current, and upcoming payments
Open and close work orders
Download and upload information to and from client specific systems as required
Accurately organize and maintain file correspondence, invoices, and receipts
Maintain all open and closed A/R files in a consistent and orderly manner
Maintain a high level of confidentiality in all interactions
Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders

Required Qualifications:

Previous administrative, bookkeeping, and/or management experience.
Must have excellent organizational skills, the ability to multi-task, and prioritize workload
QuickBooks
Microsoft Office skills
Have the ability to work independently
Strong communication skills
College diploma or Bachelor’s degree in Accounting, Finance or Business Administration, a minimum of 3-5 years of experience, or an equivalent combination of education and experience
A minimum of 2 years direct experience in a bookkeeping/accounting capacity. Experience in construction industry is a strong asset.
Experience in project controls and/or project management is a very strong asset.
Must possess a high level of moral judgement for handling confidential information
Able to learn new software quickly
High proficiency Quick Books
High attention to detail and a high degree of accuracy
Strong work ethic – able to work independently as well as maintaining a positive team attitude, excellent teamwork and team-building skills
