13 townhouses. 4 builders competing. 1 successful tender.

We worked alongside our client to provide full estimating, tender management and procurement support for this 13 townhouse development.

A key part of the process was identifying value engineering opportunities to make the project more cost-effective without compromising the quality, finishes or overall design.

The result? Our client successfully secured the project against three competing builders.

A great example of how thorough estimating, competitive procurement and smart cost planning can make a difference at tender stage.

Did you know missing downpipe quantities are a common estimating mistake?
They are often assumed to be included elsewhere or missed in early take-offs.
When they surface later, they create unplanned costs and delays.
Small items add up quickly when they are overlooked.

A detailed estimate doesn’t automatically mean an accurate estimate.

You can have hundreds of line items and still have problems if the information behind them is wrong.

Missing details.
Outdated drawings.
Unconfirmed selections.
Incomplete trade pricing.
Allowances that haven’t been checked.

The numbers might look precise.

That doesn’t mean they are.

Good estimating starts with good information.

Winning every tender isn't always a good thing.

If you're consistently winning almost every job you price, it could be a sign your estimates are too low and you're leaving profit on the table.

On the other hand, if you're not winning any tenders, it may be time to review your pricing, estimating process or the types of projects you're targeting.

Track:
✔ Number of tenders submitted
✔ Number of tenders won
✔ Win percentage
✔ Average project value
✔ Reasons you won or lost

Over time, this data helps you understand where your pricing sits in the market and where improvements can be made.

You can't improve what you don't measure.

Save this tip before your next tender.

A bigger contract value doesn’t automatically mean a better job.

A builder can have plenty of revenue moving through the business and still be carrying projects with thin margins.

That’s why you need to know the estimated margin before the job starts.

More turnover can mean more work, more overheads and more risk. If the margin isn’t there, the bigger number doesn’t help.

Before you chase more turnover, check:

• Is the full scope priced?
• Are your trade quotes current?
• Are your allowances realistic?
• Have you covered overheads?
• What margin is actually left in the job?

The goal isn’t to win the biggest job.

It’s to win work that is priced properly and supports the business behind it.

Your estimator shouldn’t have to guess.

Every missing detail in your construction documents creates a decision.

What finish is being used?
What structure has been allowed for?
Are there specific site access requirements?
Is there anything in the programme that affects pricing?

Sometimes your estimator can clarify the missing information.

Other times, they need to make an assumption so the estimate can keep moving.

That’s normal.

The issue is when those assumptions aren’t clearly recorded.

If something isn’t nominated or the documentation is incomplete, the assumption should be stated and priced accordingly.

That way, everyone knows exactly what the estimate is based on.

Clear assumptions now are much easier than arguments later.

When trade quotes come back, I’m not just looking at the price.

I’m checking the scope, exclusions, allowances and exactly what’s included.

The goal is to make sure I’m comparing like for like before making a decision.

A cheaper quote isn’t always the better quote.

$27,000 saved on one trade package.

For this childcare centre, we went to market for the frame and truss supply and install package.

By testing the market and comparing the pricing properly, we secured a saving of $27K.

That is the value of procurement done properly.

It is not always about cutting scope. Sometimes the saving is sitting in how the package is priced and who you ask to price it.

Did you know door and window schedules often conflict with drawings?
When schedules do not match floorplans or elevations, quantities and specs change.
If this is missed early, it leads to reorders, delays, and cost variations.
Cross-checking documents protects accuracy before orders are placed.

Stop comparing tender prices by the bottom number.

Two quotes can be $10,000 apart and still be much closer than they look.

Before you decide one contractor is cheaper, compare what each price actually includes.

Check:

• Scope included
• Exclusions
• Qualifications
• Allowances
• Programme assumptions
• Materials and specifications
• Labour included
• Items priced as provisional or subject to confirmation

One contractor may be $10,000 higher because they have allowed for work the cheaper quote has excluded.

That difference can come straight back later through variations.

Level the scope first.

Compare the price second.

Price tells you very little until you know exactly what’s included.
