Now Hiring - Office Clerk
About the Company
We are a construction company in Clarkson with a strong focus on customer satisfaction. This environment would suit an enthusiastic and self-motivated individual with prior experience in the construction industry. Each member of team of 4 full-time employees play a diverse role within the business and able to effectively work within all areas of the business. The office administrator will be the link between the four main areas of our business.
Your duties:
Reporting to the Office Administrator and Managing Director your duties will include but won't be limited to:
• Reception duties - Meeting and greeting clients, answering phones and basic enquiries, redirecting as required
• Front door/desk management
• Data entry, database management and management of archiving systems
• Job tracking including subcontracted jobs
• Management of incoming and outgoing mail
• Liaise with trades as required to provide updates and respond to queries
• Keep Supervisors/Estimators updated with any status changes
• Obtaining quotes/sending relevant documentation as required such as contracts, quotes, etc.
• Action all forms of communication including email queries and system alerts
• Processing and recording everyday transactions using XERO
• Assisting with accounts payable and receivables; upon request
• Assist in payroll and data entry; when needed
• Daily entries, balancing and reconciliations; when needed
• Expense claim reimbursement (data entry)
• Assisting the accounting team – drawing up documents, following up with clients and status reporting
• General administration support - filing, copying, collating, binding etc
• Other office all-rounder duties as required
To be successful in this position, you will be able to demonstrate a high level of attention to detail and have strong written and verbal communication skills. Previous experience in Construction industry/receptionist position will be highly desired. Naturally, you will be well groomed, have an upbeat and friendly personality, great time management skills, the ability to learn quickly and be a proficient user of Microsoft Office suite of products.
