Position Overview:
We are seeking a highly organized and detail-oriented Administration Assistant to join our team. In this role, you will be responsible for managing the day-to-day administrative tasks of our office as well as providing support and administrative assistance to the team.
About the Role:
• Location: Convenient Osborne Park Location with onsite parking
• Compensation: Competitive salary, based on experience and qualifications
• Hours: 8.00am to 4pm
• Start Date: September 10th
Key Responsibilities:
• Administrative Support: Manage office operations, including general housekeeping, responding to emails, filing, ordering uniforms and office supplies, handling incoming and outgoing mail, and maintaining office systems.
• Accounts: Support the accounts department by assisting with accounts payable and accounts receivable using Xero software, assisting with the processing of weekly payroll including checking and approving weekly timesheets.
• Onboarding: Assist with onboarding process for new hires, ensuring all site-specific safety training and paperwork is completed before they commence work.
• Scheduling: Assist in scheduling meetings, site visits, and booking training for staff.
• Data Entry: Accurately enter and update information in company databases and spreadsheets.
• Compliance: Ensure that all administrative and safety documentation has been complied and provided for all jobs.
• Document Management: Organize and maintain digital and physical files, ensuring easy retrieval and up-to-date records. Recoding and distributing meeting minutes.
• Support to Management: Provide support to the management team in various administrative tasks as needed.
Qualifications:
• Proven experience as an Office Administrator or in a similar role.
• Strong organizational skills with high level of accuracy and attention to detail.
• Strong analytical and problem-solving abilities
• Proficiency in accounting software Xero and strong knowledge of Microsoft Office Suite (Word, Excel, Outlook).
• Excellent communication skills, both written and verbal.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Ability to work effectively within a team environment while also being self-motivated and capable of working independently
• Hold a current Drivers Licence and means of transportation
